Manually sending emails on TripWorks

Automated messaging on TripWorks is super easy and convenient, but there may be times where you need to manually send your customer an additional message. Today, we're going to walk through exactly how you can do that.

From within your sales tab on your dashboard, simply open any existing reservation. On the left -hand side, you'll see a button that says email. Once you select email, a list of your templates will appear at the top.

Using the drop -down, you can select your desired email template. Let's say your customer would like you to resend their confirmation email. Just select that template from the list, and you do have the option to add an additional note.

Adding this note appears at the top of the email template. This is a great way to quickly send a note to your customer or customize your email. You can scroll down to preview the full email before sending.

Then, when you're ready, simply hit send in the upper right. And that's it. Your customer will be sent that email, and you can always view it in the message queue. You'll know the email was manually sent because there will be a line item titled sent by with the team member's name.

So what are some other ways that we can manually send emails from inside your account? If you select the manifest tab from your dashboard, you'll have the option to send manual emails right from your manifest to one or multiple guests.

Looking at snowboarding for 9 a .m. as an example, let's say that we need this tour to start a few minutes later than 9 a .m. We can select the three dots in the upper right corner, and then select send a message to all guests.

This will pull up a similar screen with a list of all of your email templates. Simply select the template that best fits your scenario, and then add a note if needed. you can once again go ahead and preview the email template.

Additionally, you're going to see the number of recipients at the top here. In this example, we have two people booked for the 9 a .m. snowboarding activity, so this is just letting us know that we will be sending this email to both guests booked on this activity date and time.

Hit send, and then you're all set. You can click into each trip right from the manifest to view that email. Once again, we'll see our note, and then we can see that the email is manually sent by a team member.

And that's it. Those are a couple different ways that you can manually send email and SMS through the TripWorks platform. Of course, automations are easier and more convenient, but if you do find yourself in a situation where you need to manually communicate, you do absolutely have the tools to do so right from within your TripWorks dashboard.
